Privacy Policy

This Privacy Policy explains how Relay Operations LLC (“Relay Ops,” “Relay,” “we,” “us”) handles information in the Relay Ops apps, on the website relayops.co and in related services (the “Service”).

Relay is a business tool. Restaurants, bars and similar venues use it to run their operations, and they invite their owners, managers, staff and outside partners to use it.

1. Information we collect

  • Account details: your name, email address, sign-in details, role and the venues you belong to.
  • Details your venue asks you for, such as contact and emergency-contact details, and documents such as an ID, work permit, tax form or license. These can contain sensitive information, such as a Social Security or ID number.
  • Business records that you and your venue enter or upload, such as operational, financial and staff records, photos and PDFs. Uploads can show sensitive details, such as ID or bank account numbers.
  • Technical data needed to run the Service, such as your app version, your device’s notification token, and server logs that include IP addresses.
  • Messages you send us.

You or your venue give us this information, your device sends it when you use Relay, or QuickBooks Online sends it if an owner connects it (section 5).

2. How we use information

We use information only to provide, support and secure Relay for your venue, to send notifications and account emails, and to meet legal duties and enforce our Terms of Use.

We do not sell personal information or use it for advertising. Relay has no ad, analytics or tracking tools. It does not track you across other sites or apps, so Do Not Track signals change nothing. The website uses only the cookies and browser storage it needs to work, such as keeping you signed in.

3. Who we share information with

  • People at your venue, based on their role (for example, owners and managers can see the details and documents staff provide), and outside partners, such as an accountant, that an owner invites.
  • Service providers that help us run Relay, such as cloud hosting and storage, push notifications, document previews, weather and holiday data, and AI reading of uploads (section 4).
  • QuickBooks Online, if an owner connects it (section 5).
  • Others when the law requires it, to protect the rights and safety of people or Relay, or as part of a merger, financing or sale of our business.

Service providers may use your information only to provide their service to Relay, and must protect it at least as well as this Policy does.

4. AI reading of uploads

To fill in fields for you, Relay sends some photos and PDFs you upload to a third-party AI service (currently Anthropic). Some photos are read by our cloud hosting provider’s AI service instead. Newer versions of the Relay app ask for your OK before the first of these files is sent. Neither service is allowed to train its AI models on these files, and Anthropic deletes them within 30 days unless its safety checks flag them (then it may keep them for up to 2 years) or the law requires otherwise. AI can make mistakes, so check the fields before you save. To withdraw your OK, email support@relayops.co.

5. QuickBooks Online

Relay connects to QuickBooks Online only if a venue’s owner chooses to. Relay then reads only the QuickBooks data it needs, such as the company’s details, accounts, vendors and bills. It sends the venue’s invoices to QuickBooks as bills with their files, keeps those bills in step with the invoices in Relay, and adds the vendors it needs and any accounts an owner asks for.

We handle this data for your venue, not on Intuit’s behalf, and use it only for this connection. We never sell it, use it for ads, share it with another customer or send it to any AI service. The connection keys are kept encrypted on Relay’s servers.

An owner can disconnect at any time. When an owner disconnects in Relay, we delete the connection keys at once, and our saved copies of the company’s lists and address 30 days later. If the connection is ended in QuickBooks instead, we delete the connection keys once we notice, and our saved copies of the company’s lists and address 30 days later unless an owner reconnects. Our other connection records and our record of the bills Relay sent stay with the venue’s records until those are deleted, or sooner if the owner asks. Disconnecting does not remove bills already sent to QuickBooks.

6. Security

We use reasonable safeguards to protect information, such as encryption in transit and at rest and access controls. No system is perfectly secure. Please report any concern to support@relayops.co.

7. How long we keep information

We keep a venue’s records while it uses Relay. After a venue leaves, we keep them for 90 days so the owner can ask for a copy, then delete them. Your personal details stay until you delete your account or ask us to, except what your venue keeps (see the next section). Most temporary copies of uploads are deleted after 7 days or sooner, and the rest stay with the venue’s records. Server logs are kept for a limited time. QuickBooks data is kept as section 5 says. We keep information longer only when the law requires it or to resolve disputes.

8. Deleting your Relay Ops account

In the app, open Profile and tap Delete Account. Without the app, email support@relayops.co from your account’s email address and ask us to delete your account.

We delete your sign-in and your personal details. Your name stays on work records your venue keeps, and the venue’s activity history notes the deletion with your name and email address. Onboarding documents (such as an ID, work permit, tax form, license or signed agreement) stay with the venue as employment records. What the venue keeps is deleted with its other records.

9. Your choices

You can update most of your details in the app, turn off notifications in your phone’s settings, or email support@relayops.co to see, correct or delete your information or to withdraw a consent. We may need to confirm it is you. For records that belong to your venue, we may pass your request to the venue.

10. Children

Relay is only for people 18 and older and is not meant for children.

11. Changes to this Policy

We post changes at www.relayops.co/privacy with a new effective date, and tell you in the app or by email before a material change takes effect.
